These are not aspirational values written for a website. They are the operating principles we return to when things get difficult — and the standard we hold each other to every month.

Each person has got another person's back.

For every Finance Kernel™ module on every engagement, there is a Primary owner and a trained Backup ready to step in. Coverage is not a favour or an exception. It is how the system is designed. When a colleague needs to be away — for any reason — coverage activates. The person leaving does not carry the guilt of disrupting the close.

Activating your backup is not a weakness. It is the system working as designed.

Hierarchy exists only for operational efficiency and fixing responsibility — never for status.

Decisions are documented, not political. Responsibilities are written, not assumed. You will always know who is accountable for what — and why. There is no private power here. No inner circle. No guessing who to go to.

The chain of accountability exists so that when something is unclear or stuck, there is a clear path to resolve it — not to assert authority over someone.

Care is a policy here, not a promise. It shows up in how leave is handled, how emergencies are managed, how feedback is given, and how workload is treated as an operational risk rather than a personal failing.

What you can expect from us.

Five commitments. Each one has a specific operating meaning — not a vague intention. You can hold us to these.

Clarity

You will always know what good looks like.

Finance Kernel™ has a documented SOP for every recurring procedure. Every expectation is written before it is applied. If something is unclear, we fix the documentation — not blame the person.

If a procedure does not have an SOP, the SOP is built — not improvised. Implicit expectations do not exist here.

Support

You will never be left alone with a problem.

Early escalation is rewarded here, not penalised. Escalate when you are blocked for more than four hours, when a deadline is at risk, or when workload is crossing safe limits. Your lead's job is to unblock you — not question why you needed support.

Absorbing silently until something breaks is the thing we work to prevent. Speaking up early is always the right move.

Fairness

Decisions are documented, not political.

Performance is assessed on objective, written criteria. No private power, no favouritism, no inner circle. Feedback is private, specific, and actionable — never given publicly or in front of other team members.

Decisions cannot be based on gender, parenthood, health, age, religion, caste, or personal lifestyle. A safe escalation path exists if this is ever violated.

Care

Health and family come first, without guilt.

Leave is approved when the balance exists and coverage is arranged. You should never feel guilty for being unwell or for supporting your family. Mental health leave, parental leave, and emergency DND are protected without exception.

We cannot deliver premium Finance Kernel™ work with exhausted people. Your health is not separate from quality — it is part of it.

Progression at Actnow is built on expanding operating judgment and Finance Kernel™ certification — not tenure alone. You will be given clear standards and honest feedback on how you are meeting them. Every step of the certification pathway is defined before you take it: Foundation Module before any client access, then role-specific certification, then progression. The path is visible from the start.

Quality at Actnow does not depend on exceptional individuals. It depends on every team member executing every procedure to the Finance Kernel™ standard. Certification is what makes that possible — and it is the foundation of every career path here.

Most firms describe their culture in aspirational terms. We prefer to be specific. Here is exactly how performance is measured at Actnow — and what is permanently protected.

What IS assessed

QA audit score

Objective quality metric measured weekly. Accuracy, evidence standards, SOP adherence, escalation behaviour. Quarterly average used in performance reviews.

D+5 and D+8 delivery adherence

Our delivery commitments to clients. Misses are factual, logged, and discussed — not used as weapons or held against you unfairly.

Evidence Link completion

Every deliverable must be filed and linked before a task is marked complete. Measured consistently across the entire team.

Escalation behaviour

Did you escalate early when blocked or at risk? Early escalation is rewarded — absorbing silently until something breaks is what we work to prevent.

Teamwork and backup behaviour

Did you cover when a colleague needed it? Did you keep your backup trained and ready? How you support the people around you is a formal part of how you are assessed.

What is NEVER assessed

Late-night or weekend presence

We assess outcomes, not online hours. Being seen to work late is not a performance input. Ever.

Maternity, paternity or partner leave taken

Protected without exception. Will not affect your performance rating, your QA score, or your growth path. Not now, not later.

Mental health leave used

Protected. No stigma. No explanation required beyond what you choose to share. Taking mental health leave is a healthy response — not a weakness.

Emergency DND activations

If you activate DND for a hospitalisation, family emergency, or mental health crisis — that is never referenced in any assessment or performance conversation.

Gender, parenthood, health, age, religion, or personal lifestyle

Formal escalation paths exist and are taken seriously if this standard is ever violated.

These are not aspirational policies. They are written into how performance is scored, how QA audits are conducted, and how promotion decisions are made. The same framework applies to every team member, including leadership.

If you face an emergency during a close cycle.

Finance Kernel™ runs a monthly close cycle from D-3 to D+8. These are our most time-sensitive delivery windows. Here is exactly what happens if you face an emergency during one — because this is where words and policies are tested most.

Within 60 minutes

Coverage activates. DND is on.

Your lead sends one message: "We've got this. Rest. We'll update you when you're ready." That is the last work-related communication you receive. Your backup is already identified and trained — coverage begins immediately.

During your absence

You hear nothing about work.

Not how the close is going. Not whether D+5 was held. Not what the client said. Your situation is never disclosed to the client. If the close timeline is affected, the CFO Lead handles that conversation. Your name is not involved.

When you return

A brief handover. Nothing more.

Your lead gives you a factual summary of what happened: what was completed, what is outstanding, where the engagement stands. No guilt, no "this was difficult for the team", no pressure about what you missed. You pick up from where you are.

The person in crisis is never asked to manage the delivery impact. The system is designed so they do not have to. Protecting your recovery is not a concession — it is a non-negotiable part of how Finance Kernel™ operates.

The Finance Kernel™ team roles.

Four roles. Each has a defined scope, a structured certification pathway, and a clear line of progression. No role is a dead end — and no promotion is based on tenure alone.

FinOps Associate

Operations layer

The daily financial operations layer — transaction processing, vendor register management, payment runs, commitment tracking. You are the operating rhythm of the engagement. The layer that keeps the financial picture current every single day.

Certification: Foundation Module + FinOps Associate (FOA-ASSOC) before independent client delivery.

FinOps Lead

Operations leadership

The operations layer leadership role — owning the M1 module across one or more engagements, training and managing FinOps Associates, maintaining the vendor register and payment controls to the Finance Kernel™ standard. The FinOps Lead is the Primary owner of daily financial operations and the first line of quality assurance on everything the operations layer produces.

Certification: Foundation Module + FinOps Associate + FinOps Lead (FOL) before module ownership.

Analyst

Close layer

The close and reconciliation layer — trial balance pulls, workpaper tie-outs, evidence filing, ClickUp task management. You work to the close calendar and contribute directly to GATE 1, the D+5 delivery commitment that holds the system together.

Certification: Foundation Module + Analyst (ANL) before independent client delivery.

Senior Analyst

Close ownership + FP&A

GATE 1 close ownership, Founder Pack data verification, FP&A model updates, QA audit execution. You are the primary Maker on the most significant monthly outputs and the backup to the CFO Lead on governance matters.

Certification: Foundation Module + Senior Analyst (SNR-ANL) before independent client delivery.

CFO Lead

Client-facing · Pod leadership

All four GATE sign-offs, Founder Pack executive summary, board-level communication, client relationship management, pod leadership. The CFO Lead is accountable for the quality and integrity of everything the client sees and every conversation they have.

Certification: Full Finance Kernel™ certification pathway before independent pod leadership.

FinOps Associate FinOps Lead | Analyst Senior Analyst CFO Lead

Progression is based on Finance Kernel™ certification and operating judgment — not tenure.
